Job Description
We are seeking a highly motivated and meticulously organized Export Cargo Documentation Assistant to join our thriving team in Fumba, Zanzibar Urban-West. Key Responsibilities
- Prepare, review, and process a comprehensive range of export documentation, including Bills of Lading (B/L), Air Waybills (AWB), commercial invoices, packing lists, certificates of origin, and customs declarations.
- Ensure all documentation adheres strictly to international trade regulations, customs requirements, and company policies, minimizing delays and potential penalties.
- Accurately input and maintain shipment data into the company's logistics management system, ensuring data integrity and accessibility.
- Liaise effectively with clients, shipping lines, airlines, freight forwarders, customs officials, and other stakeholders to obtain necessary information and resolve documentation discrepancies.
- Track and monitor the status of export shipments, providing regular updates to clients and internal teams.
- Assist in the preparation and submission of customs entries and other regulatory filings.
- Maintain organized and accessible digital and physical archives of all export-related documents.
- Respond promptly and professionally to inquiries regarding shipment status, documentation requirements, and customs procedures.
- Collaborate with the operations team to ensure smooth coordination between documentation processes and physical cargo handling.
- Identify and report any potential issues or delays in the documentation process, proposing solutions to mitigate risks.
Required Skills
- Proven meticulous attention to detail and accuracy in data entry and document preparation.
- Excellent written and verbal communication skills in English; Swahili proficiency is a significant advantage.
- Proficiency in Microsoft Office Suite, particularly Word and Excel, for data management and report generation.
- Solid organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Basic understanding of international trade terms (Incoterms) and export procedures.
- Ability to work independently and as part of a team, demonstrating strong interpersonal skills.
- Problem-solving aptitude with a proactive approach to identifying and resolving documentation challenges.
Preferred Qualifications
- Diploma or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Previous experience (1+ year) in export documentation, freight forwarding, or a similar administrative role within the logistics industry.
- Familiarity with specific customs software or enterprise resource planning (ERP) systems used in logistics.
- Knowledge of specific regulations or documentation requirements for common export commodities from Zanzibar (e.g., spices, agricultural products, handicrafts).
- Experience with online customs portals or electronic documentation platforms.
