As our Facilities Officer, you will be the linchpin in ensuring the smooth daily operation of our facilities. Your responsibilities will span from orchestrating routine maintenance schedules, conducting regular site inspections, and promptly addressing urgent repairs, to adeptly managing external contractors and rigorously implementing and enforcing health and safety protocols. This includes ensuring compliance with all relevant regulations, conducting risk assessments, and maintaining comprehensive safety documentation. Key Responsibilities

  • Oversee daily operations, maintenance, and upkeep of all company facilities in Sutton, Birmingham.
  • Manage relationships with external contractors, suppliers, and service providers, ensuring service level agreements are met.
  • Develop, implement, and monitor robust health and safety procedures, ensuring full compliance with statutory regulations.
  • Conduct regular site inspections and risk assessments, identifying and mitigating potential hazards.
  • Coordinate and supervise all repairs, renovations, and preventative maintenance programs.
  • Manage facility-related budgets, including procurement, expense tracking, and cost control initiatives.
  • Maintain accurate records and documentation for all facility activities, inspections, and compliance checks.
  • Act as the primary point of contact for all facility-related requests and emergencies, ensuring prompt resolution.
  • Identify and implement energy-saving and sustainability initiatives to reduce environmental impact and operational costs.
  • Ensure security systems and procedures are robust, effective, and regularly tested.
  • Manage office layout changes and space planning to optimise functionality and employee comfort.

Required Skills

  • Proven experience (minimum 2 years) in facilities management or a similar workplace management role.
  • Solid understanding of health and safety regulations, with relevant qualifications (e.g., IOSH, NEBOSH General Certificate).
  • Excellent project management, organisational, and time-management skills.
  • Proficiency in managing budgets, negotiating contracts, and liaising effectively with vendors.
  • Strong problem-solving abilities, with a keen eye for detail and proactive approach.
  • Exceptional communication and interpersonal skills, capable of engaging with all levels of staff.
  • Competent in using facility management software and Microsoft Office Suite (Word, Excel, Outlook).
  • Full UK driving licence and access to a vehicle for occasional site visits or supplier errands.

Preferred Qualifications

  • Relevant professional qualification (e.g., IWFM Level 3 or 4 qualification).
  • Experience with CAD software or space planning tools.
  • Understanding of environmental management systems (e.g., ISO 14001).
  • First Aid at Work certification.
  • Previous experience working in a fast-paced corporate office environment.
