Job Description

Key Responsibilities

  • Accurately sort, categorize, and file physical documents and records according to established procedures.
  • Scan, digitize, and upload documents into our electronic document management systems, ensuring proper indexing and metadata entry.
  • Maintain and update existing filing systems to ensure optimal efficiency and accessibility.
  • Perform regular audits of files to ensure accuracy, completeness, and adherence to retention policies.
  • Retrieve documents promptly upon request, maintaining a meticulous log of all file movements.
  • Ensure strict confidentiality and security of all sensitive information and documents.
  • Assist with general office administrative tasks as required, supporting the smooth operation of the Chimoio branch.
  • Identify and report any discrepancies or issues related to document management.
  • Collaborate with team members to improve filing and document control processes.

Required Skills

  • Exceptional organizational and time management skills
  • High level of attention to detail and accuracy
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite)
  • Ability to work independently and manage multiple tasks effectively
  • Strong communication skills, both written and verbal
