Job Description

BlueRock Wealth Management is seeking a highly organized, detail-oriented, and proactive Financial Planning Support Assistant to join our thriving team in Fleetwood, Surrey. This full-time role is crucial in supporting our Financial Advisors by managing administrative tasks, preparing client documentation, and ensuring the smooth operation of our client service processes. Key Responsibilities

  • Prepare and process new client applications, account transfers, and other financial documentation with accuracy and efficiency, ensuring all forms are complete and compliant.
  • Assist Financial Advisors in preparing for client meetings, including assembling reports, presentations, financial statements, and client review packages.
  • Manage client databases and CRM systems, ensuring all information is current, accurate, and compliant with privacy regulations (e.g., PIPEDA).
  • Act as a primary point of contact for client inquiries, providing timely and professional assistance or directing queries to the appropriate advisor.
  • Coordinate and schedule client appointments, managing calendars for multiple advisors and sending out confirmations.
  • Process and track investment trades, insurance applications, and other financial transactions, maintaining detailed records.
  • Ensure compliance with all industry regulations and internal policies, assisting with audit preparation and maintaining meticulous records.
  • Support general office administration, including filing, scanning, mail management, ordering supplies, and maintaining a tidy office environment.
  • Collaborate effectively with team members to streamline workflows and improve operational processes, contributing to a more efficient and productive team.
  • Assist with special projects and initiatives as required by the advisory team, demonstrating flexibility and a willingness to learn.

Required Skills

  • Minimum of 1-2 years of experience in an administrative or support role within the financial services industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), with a strong aptitude for learning new software.
  • Exceptional organizational skills and meticulous attention to detail, ensuring accuracy in all tasks.
  • Strong verbal and written communication skills, with the ability to articulate complex information clearly and professionally.
  • Ability to handle sensitive client information with the utmost discretion and confidentiality.
  • Proven ability to multitask, prioritize, and manage time effectively in a busy, deadline-driven environment.
  • Strong problem-solving abilities and a proactive, resourceful approach to tasks.
  • A genuine interest in financial planning, wealth management, and the broader financial industry.

Preferred Qualifications

  • Post-secondary education (diploma or degree) in Business Administration, Finance, or a related field.
  • Experience with CRM software (e.g., Salesforce, WealthServ) and financial planning software.
  • Knowledge of Canadian investment products, insurance, and fundamental financial planning concepts.
  • Completion or enrollment in financial industry courses (e.g., Canadian Securities Course (CSC), Investment Funds in Canada (IFIC)).
