Key Responsibilities

  • Assist in the daily coordination and scheduling of fleet vehicles and drivers, ensuring optimal route planning and resource utilization.
  • Maintain accurate and up-to-date fleet records, including vehicle registration, maintenance logs, inspection reports, and driver documentation.
  • Coordinate vehicle maintenance and repairs with internal teams and external vendors, tracking service schedules and ensuring timely completion.
  • Monitor fleet compliance with DOT regulations, company policies, and safety standards, escalating any issues promptly.
  • Process invoices, expense reports, and other financial documentation related to fleet operations.
  • Provide administrative support to the Fleet Operations Manager, preparing reports, presentations, and correspondence.
  • Assist in the onboarding and training of new drivers regarding fleet procedures and safety protocols.
  • Manage fuel cards, tolls, and other vehicle-related expenses, reconciling accounts as needed.
  • Communicate effectively with drivers, internal departments, and external partners to resolve operational issues.

Required Skills

  • Proven experience in an administrative or logistical support role, preferably within transportation or fleet management.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and comfortable learning new software.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.
  • Demonstrated problem-solving capabilities and a proactive approach to challenges.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's degree in Logistics, Business Administration, or a related field.
  • Familiarity with fleet management software (FMS) or telematics systems.
  • Knowledge of DOT regulations and transportation industry best practices.
  • Experience with scheduling and dispatching operations.
  • Valid driver's license with a clean driving record.
