Job Description

Wray & Nephew Ltd. is seeking a dedicated and meticulous Fleet Scheduling Assistant to join our dynamic team in Hellshire, Portmore. This critical full-time role is at the heart of our distribution operations, ensuring the seamless movement of our products across Jamaica. As a Fleet Scheduling Assistant, you will play a pivotal role in optimizing our fleet’s daily operations, from planning routes and managing schedules to coordinating with drivers and ensuring timely deliveries. You will be responsible for maintaining precise records, utilizing scheduling software, and proactively addressing any logistical challenges that arise. Key Responsibilities

  • Develop and implement efficient daily, weekly, and monthly fleet schedules, ensuring optimal route planning and resource utilization.
  • Coordinate with drivers, warehouse staff, and sales teams to facilitate timely loading, dispatch, and delivery of products.
  • Monitor fleet movements and driver performance using tracking systems, identifying and resolving any deviations or delays.
  • Maintain accurate and up-to-date records of vehicle maintenance schedules, fuel consumption, driver logs, and delivery manifests.
  • Assist in managing vehicle registration, insurance, and compliance with all relevant transportation regulations.
  • Communicate proactively with internal stakeholders and external partners regarding schedule changes, potential issues, and resolutions.
  • Prepare and generate reports on fleet efficiency, operational costs, and delivery performance.
  • Support the Fleet Manager in administrative tasks, procurement of spare parts, and inventory management for fleet-related items.
  • Contribute to continuous improvement initiatives aimed at enhancing fleet operations and reducing costs.
  • Ensure adherence to company safety protocols and transportation guidelines at all times.

Required Skills

  • Proven experience in a logistics, transportation, or fleet coordination role.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Proficiency in using scheduling software, dispatch systems, and Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent communication (verbal and written) and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving abilities and a proactive approach to challenges.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Knowledge of basic vehicle maintenance scheduling and road safety regulations.

Preferred Qualifications

  • Associate's or Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Certification in Logistics and Transport (e.g., CILT).
  • Experience with specific fleet management software (e.g., GPS tracking systems, ERP modules).
  • Familiarity with Jamaican road networks and geographical areas.
  • Experience in the FMCG (Fast-Moving Consumer Goods) or beverage distribution industry.
