Key Responsibilities

  • Conduct initial client consultations to understand vision, objectives, and budget for weddings and corporate events.
  • Develop detailed event proposals, concept designs, and comprehensive timelines.
  • Manage event budgets meticulously, tracking all expenses and ensuring profitability.
  • Source, negotiate with, and manage relationships with a diverse range of vendors (venues, caterers, florists, entertainment, AV, photographers).
  • Oversee all logistical aspects, including venue selection, décor, equipment rental, transportation, and staffing.
  • Provide on-site event management and supervision to ensure flawless execution.
  • Proactively identify and mitigate potential risks, developing contingency plans.
  • Maintain clear and consistent communication with clients, vendors, and internal teams.
  • Stay abreast of industry trends, technologies, and best practices in event planning.
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.

Required Skills

  • Minimum of 4 years of proven professional experience in event planning, with significant experience in both wedding and corporate events.
  • Exceptional organizational and project management skills, with acute attention to detail.
  • Strong negotiation and vendor management abilities, demonstrating a track record of securing favorable terms.
  • Proficiency in event management software (e.g., Aisle Planner, Cvent, HoneyBook) or robust project management tools.
  • Excellent communication, interpersonal, and client relations skills, both written and verbal.
  • Demonstrated financial acumen and experience with budget creation and oversight.
  • Ability to work independently, prioritize tasks, and manage multiple projects concurrently under tight deadlines.
  • Advanced problem-solving capabilities and adaptability in fast-paced, high-pressure environments.
  • Valid driver's license and access to reliable transportation for site visits and vendor meetings.

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Marketing, Communications, or a related field.
  • Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP) designation.
  • Experience working with high-profile clients or on large-scale, complex events.
  • A strong online portfolio showcasing a diverse range of successful wedding and corporate events.
  • In-depth knowledge of local Kingston/Jamaica venues, vendors, and cultural nuances.
