As our Front Desk Officer, you will be at the heart of our branch’s daily activities. You will greet clients with a smile, direct them to the appropriate departments, and provide initial assistance with inquiries, embodying the bank’s commitment to excellence. Your responsibilities will extend to managing incoming calls, scheduling appointments, maintaining a tidy and professional reception area, and providing crucial administrative support to various teams within the branch. Key Responsibilities

  • Warmly greet and welcome all clients, visitors, and vendors to the Siaya branch, directing them to appropriate personnel or departments.
  • Answer, screen, and forward incoming phone calls in a professional and courteous manner, providing basic information when required.
  • Manage the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary forms and brochures.
  • Receive, sort, and distribute daily mail, deliveries, and couriers efficiently.
  • Schedule and confirm appointments for clients with various bank officers and departments.
  • Provide general administrative and clerical support to branch staff, including data entry, filing, and photocopying.
  • Maintain security by following procedures, monitoring logbooks, and issuing visitor badges.
  • Assist clients with basic inquiries and provide accurate information about bank services, escalating complex issues to relevant staff.
  • Operate standard office equipment, including multi-line phone systems, computers, and printers/scanners.
  • Maintain strict confidentiality of client information and bank operations at all times.

Required Skills

  • Excellent verbal and written communication skills in English and Swahili.
  • Proven customer service experience with a friendly and professional demeanor.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of integrity and discretion when handling sensitive information.
  • Problem-solving skills and a proactive approach to addressing challenges.

Preferred Qualifications

  • Diploma or Degree in Business Administration, Public Relations, Communications, or a related field.
  • Previous experience in a front desk, reception, or administrative role, preferably within the banking or financial services sector.
  • Familiarity with banking products, services, and operational procedures.
  • Knowledge of local languages prevalent in Siaya County (e.g., Dholuo) will be an added advantage.
