Career.zycto is seeking an exceptional Front Desk Officer & Office Receptionist to be the welcoming ambassador of our Voi office. In this pivotal role, you will be the first point of contact for clients, candidates, and visitors, setting the tone for their entire experience with our brand. We are looking for a highly organized, professional, and friendly individual who can manage a bustling front desk while seamlessly supporting various administrative functions. Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and candidates, directing them appropriately.
  • Manage incoming and outgoing calls, ensuring professional and efficient call handling.
  • Maintain a tidy, organized, and professional reception area at all times.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Provide administrative support to various departments as needed, including data entry, filing, and document preparation.
  • Manage office supplies inventory, placing orders and ensuring availability.
  • Assist with onboarding new staff by preparing workstations and access cards.
  • Handle basic inquiries and provide accurate information about the company.
  • Implement and maintain office security protocols, managing visitor logs and access.

Required Skills

  • Proven experience as a Front Desk Officer, Receptionist, or in a similar administrative role (minimum 18 months).
  • Exceptional verbal and written communication skills in English and Kiswahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities with acute attention to detail.
  • Customer-service oriented with a professional and friendly demeanor.
  • Ability to handle challenging situations with tact and professionalism.
  • High level of integrity and discretion.

Preferred Qualifications

  • Diploma or Certificate in Business Administration, Office Management, or a related field.
  • Experience with multi-line phone systems and office equipment.
  • Familiarity with CRM software or applicant tracking systems.
  • Prior experience in the recruitment or professional services industry.
