Key Responsibilities
- Warmly greet and welcome visitors, clients, and guests, directing them appropriately and ensuring a comfortable waiting experience.
- Manage incoming calls efficiently, screening and forwarding them to the relevant personnel or taking accurate messages when necessary.
- Handle all incoming and outgoing mail and deliveries, ensuring proper distribution and dispatch.
- Maintain the reception area, lobby, and meeting rooms in a tidy and professional manner at all times.
- Schedule and confirm appointments, meetings, and conference room bookings.
- Provide administrative support across various departments, including data entry, filing, scanning, and photocopying.
- Assist in organizing company events, meetings, and staff gatherings as required.
- Monitor and order office supplies, ensuring adequate stock levels are maintained.
- Manage basic inquiries and provide general information about the company to visitors and callers.
- Operate standard office equipment such as multi-line phone systems, computers, and printers.
- Adhere strictly to company policies and procedures, especially regarding security and visitor protocols.
Required Skills
- Exceptional verbal and written communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
