Key Responsibilities

  • Warmly greet and welcome all clients, candidates, and visitors, ensuring a professional and positive first impression.
  • Efficiently answer, screen, and accurately forward incoming phone calls; manage detailed messages.
  • Process all incoming and outgoing mail, packages, and deliveries (sorting, distributing, preparing shipments).
  • Monitor and maintain adequate office supply inventory; place orders and manage deliveries.
  • Skillfully schedule and confirm appointments, meetings, and interviews; manage calendars for efficiency.
  • Provide comprehensive administrative support: data entry, filing, document preparation, and basic research.
  • Ensure the reception area and common spaces are consistently tidy, presentable, and well-organized.
  • Assist in organizing company events, workshops, or meetings (venue prep, registration).
  • Maintain strict confidentiality of sensitive information and documents.
  • Operate and troubleshoot basic office equipment (printers, scanners).

Required Skills

  • Proven experience (2+ years) as a Front Office Coordinator or similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and adaptability to new software.
  • Exceptional verbal and written communication skills for diverse interactions.
  • Superior organizational and time management abilities; effective prioritization.
  • Strong customer service orientation with a professional, friendly demeanor.
