Job Description
Join DIVERSEcity Community Resources Society as a Grant Tracking Aide, a vital role that ensures the seamless administration and accurate reporting of our grant-funded programs. In this flexible, part-time position, you will play a crucial part in our ability to continue delivering essential services to newcomers and the broader community. You will be responsible for maintaining meticulous records of grant expenditures, deadlines, and reporting requirements, contributing directly to our organizational transparency and accountability. Working closely with our Grants and Finance teams, you will assist in the compilation of data necessary for grant applications, interim reports, and final statements. Your efforts will help us monitor grant performance, identify potential issues early, and ensure compliance with funder guidelines. Key Responsibilities
- Maintain and update a comprehensive grant tracking database with accurate and timely information.
- Monitor grant-specific deadlines for reporting, applications, and fund disbursements, ensuring no opportunities are missed.
- Assist in the preparation of financial reports and expenditure summaries for various grant programs, supporting the finance team.
- Reconcile grant-related financial data with accounting records to ensure accuracy and compliance with funder requirements.
- Support the Grants and Finance teams in gathering documentation for audits and internal/external reviews.
- Communicate effectively with internal stakeholders across departments to gather necessary grant information and updates.
- Identify and flag potential discrepancies or issues related to grant tracking and reporting, proactively seeking resolutions.
- Contribute to the continuous improvement of grant administration processes and tools, suggesting efficiencies where possible.
- Perform general administrative tasks as required to support grant management activities, ensuring smooth operations.
Required Skills
- Proven proficiency in data entry and database management with high accuracy and speed.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively under deadlines.
- Strong attention to detail and a commitment to producing precise and error-free work.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) with intermediate to advanced Excel skills.
- Effective written and verbal communication skills for clear internal reporting and collaboration.
- Ability to work independently with minimal supervision and collaboratively as part of a diverse team in a flexible work environment.
Preferred Qualifications
- Previous experience in an administrative or data entry role, preferably within a non-profit organization or a similar grant-funded environment.
- Familiarity with grant management processes, cycles, or financial reporting within a charitable context.
- Experience with CRM or specialized database systems (e.g., Salesforce, Raiser's Edge) for donor or grant tracking.
- Post-secondary education in business administration, finance, accounting, or a related field.
- Understanding of the social service sector and commitment to DIVERSEcity's mission.
