Job Description
Brown’s Town High School is seeking a compassionate, organised, and detail-oriented individual to join our team as a Part-Time Guidance Office Helper. This is a unique opportunity to provide essential administrative and supportive assistance within our vital Guidance Office, contributing directly to the well-being and success of our students. The ideal candidate will be the welcoming first point of contact for students, parents, and staff, ensuring the smooth operation of daily activities. You will play a key role in maintaining student records, scheduling appointments, assisting with various guidance programs, and helping to create a nurturing and confidential environment where students feel comfortable seeking support. This position demands excellent communication skills, a high level of discretion, and a proactive approach to office management. You’ll be instrumental in helping our Guidance Counsellors focus on their core duties by managing the daily operational flow, handling inquiries, and ensuring that all necessary resources are readily available. Key Responsibilities
- Serve as the primary point of contact for students, parents, and staff visiting or contacting the Guidance Office, providing a warm and professional welcome.
- Manage the Guidance Counsellor's calendar, scheduling student appointments, meetings, and coordinating guidance-related events.
- Maintain accurate and confidential student records, ensuring proper filing, data entry, and adherence to privacy protocols.
- Assist with the preparation and distribution of guidance materials, including newsletters, brochures, and workshop announcements.
- Perform general administrative duties such as answering phones, responding to emails, photocopying, scanning, and managing office supplies.
- Support the planning and execution of student development activities, career fairs, and wellness programs initiated by the Guidance Office.
- Handle sensitive information with the utmost discretion and professionalism, upholding the confidentiality of student matters.
- Collaborate effectively with other school staff to ensure seamless support for student services.
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain strict confidentiality and exercise discretion.
- Empathy, patience, and a positive attitude when interacting with students and parents.

- Basic administrative and clerical skills.
Preferred Qualifications
- High School Diploma or equivalent; additional secretarial or administrative training is a plus.
