Key Responsibilities

  • Greet and register patients warmly, verifying demographic and insurance information.
  • Schedule and confirm patient appointments, managing cancellations and rescheduling effectively.
  • Maintain accurate and confidential patient medical records, both electronic and physical.
  • Prepare examination rooms before and after patient visits, ensuring cleanliness and proper stocking of supplies.
  • Assist medical professionals with patient intake, vital signs measurement, and minor medical procedures as directed and within scope.
  • Handle incoming calls, direct inquiries, and provide clear information to patients regarding clinic services and policies.
  • Process payments, manage billing inquiries, and handle petty cash with integrity and accuracy.
  • Facilitate efficient patient flow throughout the clinic, minimizing wait times and ensuring a positive experience.
  • Manage inventory of medical supplies and office consumables, initiating orders when necessary.
  • Adhere strictly to all health and safety regulations, as well as patient privacy laws and internal policies.

Required Skills

  • Proven administrative support experience, preferably in a healthcare setting.
  • Excellent verbal and written communication skills in English.
  • Proficiency in using clinic management software and Microsoft Office Suite (Word, Excel).
  • Strong organizational and multitasking abilities with exceptional attention to detail.
  • Ability to work effectively in a fast-paced, demanding environment.
  • Exceptional interpersonal skills and a patient-first approach to service.
  • Basic knowledge of medical terminology and general office procedures.

Preferred Qualifications

  • Certificate or Diploma in Medical Office Administration, Healthcare Management, or a related field.
  • Basic Life Support (BLS) certification.
  • Previous experience with Electronic Health Records (EHR) systems.
  • Familiarity with local healthcare regulations and patient privacy guidelines.
  • Ability to communicate in local Nigerian languages (e.g., Yoruba, Igbo, Hausa) is a significant advantage.
