Key Responsibilities

  • Warmly greet guests upon arrival, manage check-in procedures efficiently, and assign rooms.
  • Handle guest check-outs, process payments accurately, and provide farewell remarks.
  • Manage all incoming calls, direct them appropriately, and take messages when necessary.
  • Respond promptly and professionally to guest inquiries, requests, and concerns, ensuring swift resolution.
  • Process reservations, modifications, and cancellations, utilizing our property management system.
  • Provide comprehensive information about hotel facilities, services, and local attractions/amenities.
  • Maintain an organized and tidy reception area, ensuring it reflects the hotel's high standards.
  • Liaise effectively with other departments (Housekeeping, Food & Beverage, Maintenance) to fulfill guest needs.
  • Handle guest feedback and complaints with empathy and professionalism, escalating issues when necessary.
  • Perform basic administrative duties, including managing mail, faxes, and general office tasks.
  • Ensure the security of guest information and hotel property by following established protocols.

Required Skills

  • Excellent verbal and written communication skills in English and Swahili.
  • Proven customer service experience, preferably in a hospitality setting.
  • Strong problem-solving abilities and a proactive approach to guest satisfaction.
  • Proficiency in basic computer applications (MS Office) and property management systems (PMS).
  • Ability to multitask and work effectively under pressure in a dynamic environment.
  • Exceptional organizational skills and attention to detail.
  • Professional and friendly demeanor with a strong guest-focused attitude.
  • Ability to work flexible shifts, including evenings, weekends, and holidays.

Preferred Qualifications

  • Diploma or Certificate in Hotel Management, Hospitality, or a related field.
  • Previous experience (1-2 years) as a Hotel Receptionist or in a similar front-office role.
  • Familiarity with the Bukoba region and its attractions.
  • Additional language proficiency is a plus.
