Job Description

Coast Capital Savings is seeking a dedicated HR Data Verification Assistant to join our dynamic Human Resources team. This remote role, based out of Surrey, British Columbia, is crucial for maintaining the integrity and accuracy of our HR data across various systems. You will be instrumental in ensuring that employee information, compensation details, benefits enrollments, and other vital HR records are consistently precise and up-to-date, directly impacting our ability to serve our employees effectively and maintain compliance with regulatory standards.

As an HR Data Verification Assistant, you will be responsible for reviewing, cross-referencing, and correcting HR data, identifying discrepancies, and collaborating with HR business partners and employees to resolve issues promptly. This position requires a high degree of confidentiality, a strong understanding of data privacy principles, and the ability to work independently while remaining an integral part of a larger HR team. You will utilize your organizational skills to manage multiple data verification projects, ensuring timely completion and adherence to our internal policies and procedures. Key Responsibilities

  • Perform regular audits and verification of HR data across various platforms, including HRIS, payroll, and benefits administration systems.
  • Identify and investigate data discrepancies, errors, and inconsistencies, proactively seeking solutions.
  • Collaborate with HR Business Partners, Payroll, and employees to gather missing information or clarify existing data.
  • Ensure all HR data entry and updates comply with company policies, legal requirements, and data privacy regulations (e.g., PIPEDA).
  • Maintain strict confidentiality of all sensitive employee information and HR records.
  • Generate reports on data accuracy metrics and present findings to the HR team.
  • Assist in the development and implementation of data quality standards and best practices.
  • Support ad-hoc HR data projects and initiatives as required.
  • Document and maintain standard operating procedures for data verification processes.

Required Skills

  • Proven experience in data entry, administrative support, or HR support roles (1 year minimum).
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite, especially Excel (data sorting, filtering, basic formulas).
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a remote team.
  • Demonstrated understanding of data confidentiality and privacy principles.

Preferred Qualifications

  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • Experience with HR Information Systems (HRIS) such as Workday, SuccessFactors, or similar.
  • Familiarity with HR processes and employment standards in British Columbia.
  • Basic knowledge of payroll processes and benefits administration.
  • Certifications in data management or HR analytics are a plus.
