Job Description

As a Part-Time HR Onboarding Coordinator at Conexus Credit Union, you will play a crucial role in creating a positive, seamless, and memorable first impression for our new team members. Based in our vibrant Downtown Regina office, this position is essential in ensuring a welcoming onboarding experience from the moment an offer is accepted through their first few months of employment. You will be responsible for coordinating all administrative aspects of the onboarding process, including the meticulous preparation of new hire paperwork, scheduling comprehensive orientation sessions, managing background checks, and ensuring new employees have all necessary resources and appropriate system access from day one.

This role requires exceptional organizational skills, meticulous attention to detail, and a warm, approachable demeanor to effectively guide new hires through their initial journey with Conexus. You will collaborate closely with various departments, HR colleagues, and hiring managers to streamline processes, provide comprehensive support, and continuously enhance our onboarding programs. Key Responsibilities

  • Coordinate all administrative aspects of the new hire onboarding process, ensuring accuracy, compliance, and a positive candidate experience.
  • Prepare and meticulously distribute new hire documentation, including offer letters, contracts, benefits information, and policy acknowledgements.
  • Schedule and facilitate engaging new employee orientation sessions, both virtually and in-person, ensuring all participants feel welcomed and informed.
  • Manage comprehensive background checks, reference checks, and other pre-employment screening processes in adherence to company policy and legal requirements.
  • Ensure all necessary technology, equipment, system access, and workspace are meticulously prepared for new employees prior to their start date.
  • Act as a primary point of contact for new hires, proactively addressing questions, providing guidance, and offering support throughout their initial weeks.
  • Maintain accurate, confidential, and up-to-date employee records in the HRIS system, ensuring data integrity.
  • Collaborate effectively with IT, payroll, and department managers to ensure a smooth and integrated transition for all new hires.
  • Assist in the continuous review and improvement of onboarding procedures, materials, and digital tools to enhance efficiency and effectiveness.
  • Support the broader HR team with ad-hoc administrative tasks and special projects as required, demonstrating flexibility and a team-player attitude.

Required Skills

  • Minimum of 1 year of demonstrated experience in an HR administrative or coordination role.
  • Proven ability to manage multiple tasks, projects, and priorities effectively in a fast-paced, dynamic environment.
  • Exceptional organizational skills and meticulous attention to detail, ensuring accuracy in all tasks.
  • Strong interpersonal and communication skills, both written and verbal, with a professional and approachable demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with general office technologies.
  • Demonstrated ability to maintain strict confidentiality and handle sensitive employee information with the utmost discretion and integrity.
  • A proactive and positive attitude with a strong commitment to providing excellent service to new hires and internal stakeholders.

Preferred Qualifications

  • Post-secondary education (diploma or degree) in Human Resources, Business Administration, or a related field.
  • Experience with HR Information Systems (HRIS) such as Workday, ADP, BambooHR, or similar platforms.
  • Basic knowledge of Canadian employment laws, regulations, and best practices related to onboarding and HR administration.
  • Previous experience working within a financial services, credit union, or highly regulated industry environment.
