Career.zycto is seeking a highly organized and detail-oriented Import Export Documentation Officer to join a leading team in Shepparton CBD. This pivotal full-time role is crucial for ensuring the smooth and compliant flow of goods across international borders. As an Import Export Documentation Officer, you will be at the heart of our clients’ global supply chain operations, responsible for managing all aspects of import and export documentation from initiation to completion. Your day-to-day will involve meticulously preparing, reviewing, and processing a wide array of documents, including commercial invoices, packing lists, bills of lading, certificates of origin, customs declarations, and other necessary permits or licenses. You will act as a critical liaison between internal teams, clients, freight forwarders, customs brokers, and regulatory bodies, ensuring clear communication and timely exchange of information. The ability to interpret and apply international trade regulations, tariffs, and customs laws is paramount, as you will be responsible for verifying the accuracy of all documentation to avoid discrepancies and potential penalties. Key Responsibilities
- Prepare, process, and manage all import and export documentation, including commercial invoices, packing lists, bills of lading/airway bills, certificates of origin, and customs declarations.
- Ensure full compliance with international trade regulations, customs laws, and company policies for all shipments.
- Liaise effectively with freight forwarders, shipping lines, customs brokers, and internal departments to facilitate smooth logistics operations.
- Track and monitor shipments, providing updates on status and resolving any documentation-related issues or discrepancies.
- Maintain accurate and up-to-date records of all import/export activities and documentation in accordance with regulatory requirements.
- Research and interpret tariff classifications, trade agreements, and specific country requirements to ensure correct declaration.
- Coordinate with suppliers and customers to gather necessary information and documentation for efficient customs clearance.
- Handle queries and resolve challenges related to documentation, tariffs, and customs procedures in a timely manner.
- Assist in the preparation of reports and analysis related to import/export activities and compliance metrics.
- Proactively identify and implement process improvements to enhance efficiency and accuracy in documentation management.
Required Skills
- Minimum 3 years of experience in import/export documentation or a similar logistics role.
- In-depth knowledge of international trade regulations, customs procedures, and shipping documentation.
- Proficiency in using trade management software and Microsoft Office Suite (Excel, Word, Outlook).
- Exceptional attention to detail and accuracy in data entry and document review.
- Strong organizational and time management skills with the ability to manage multiple priorities.
