Key Responsibilities

  • Prepare and process all necessary import/export documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, and customs declarations.
  • Ensure full compliance with national and international trade regulations, customs laws, and company policies.
  • Liaise with customs brokers, freight forwarders, shipping lines, and other stakeholders to coordinate shipments and resolve documentation discrepancies.
  • Monitor and track shipments, providing updates to internal teams and clients as required.
  • Maintain accurate and organized records of all import/export transactions and related documentation.
  • Assist in customs clearance procedures and resolve any issues related to import/export permits and licenses.
  • Research and stay updated on changes in international trade laws, tariffs, and customs requirements.
  • Collaborate with sales, operations, and finance teams to ensure smooth order fulfillment and billing processes.
  • Support the implementation of new processes and systems to improve documentation efficiency.

Required Skills

  • Proven experience in import/export documentation or a similar role.
  • Strong knowledge of international trade regulations, Incoterms, and customs procedures.
  • Exceptional attention to detail and accuracy in data entry and document preparation.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with logistics software/ERP systems.
  • Strong communication skills, both written and verbal, for effective interaction with diverse stakeholders.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Problem-solving aptitude and ability to handle unexpected challenges.

Preferred Qualifications

  • A degree or diploma in Logistics, Supply Chain Management, International Trade, or a related field.

  • Fluency in German (verbal and written) in addition to English.
