Key Responsibilities

  • Coordinate and schedule interviews for various roles across multiple departments, accommodating candidate and interviewer availability across different time zones when necessary.
  • Manage and maintain interviewers' calendars, sending out invitations, confirmations, and reminders promptly to all involved parties.
  • Act as a primary point of contact for candidates regarding interview logistics, providing clear, professional, and concise information.
  • Prepare comprehensive interview schedules and itineraries for both candidates and internal hiring teams.
  • Ensure all necessary documentation, interview guides, and virtual meeting platforms (e.g., video conferencing links) are set up and ready for each interview session.
  • Maintain accurate and confidential records of all interview activities, candidate communications, and scheduling details within our tracking systems.
  • Provide general administrative support to the HR and recruitment teams as needed, including data entry and report generation.
  • Assist with other ad-hoc recruitment-related tasks and special projects to ensure smooth and efficient talent acquisition operations.

Required Skills

  • Exceptional organisational and time management skills, with the ability to manage multiple schedules concurrently.
  • Strong verbal and written communication skills in both English and Portuguese are essential.
  • Proficiency in using basic office software (e.g., Microsoft Office Suite – Word, Excel, Outlook) and comfortable with learning new systems.
  • High level of attention to detail and accuracy in all tasks, especially when dealing with scheduling and sensitive information.
  • Ability to work effectively both independently and collaboratively as part of a diverse and international team.
  • Proactive and positive attitude with a strong willingness to learn and adapt in a fast-paced environment.
  • Ability to handle confidential information with the utmost discretion and professionalism.

Preferred Qualifications

  • A diploma or certificate in administration, business, human resources, or a related field.
  • Previous experience in an office administrative, coordination, or customer service role (even volunteer or part-time experience is valuable).
  • Familiarity with online calendar management and video conferencing tools (e.g., Google Calendar, Zoom, Microsoft Teams, Skype).
  • A demonstrated interest in conservation, environmental protection, or non-profit work.
