The State University of Zanzibar (SUZA) is seeking an enthusiastic and highly organized Part-Time Library Records Assistant to join our dedicated library team at our facility in Chukwani. In this vital role, you will contribute significantly to the smooth and efficient operation of our library services by ensuring the accurate and systematic management of library records and materials. Key Responsibilities
- Assist with the accurate cataloging and classification of diverse library materials (including books, periodicals, e-resources, and multimedia) in strict adherence to established library standards and best practices.
- Perform diligent data entry and ongoing maintenance of library records within the integrated library system (ILS) and other relevant departmental databases, ensuring data integrity.
- Process new acquisitions comprehensively, which includes stamping, precise labeling, barcode application, and correct shelving of materials according to library schema.
- Provide front-line assistance to patrons, guiding them in locating specific materials, addressing basic research inquiries, and troubleshooting the use of library equipment and digital resources.
- Maintain the physical order, cleanliness, and neatness of library shelves, reading areas, and common spaces to ensure a conducive learning environment.
- Actively assist in inventory checks, collection assessment, and weeding projects to ensure the library's collection remains current, relevant, and well-maintained.
- Handle interlibrary loan requests and document delivery processes, facilitating resource sharing with other institutions.
- Provide essential administrative support to the senior library staff, encompassing tasks such as photocopying, accurate filing, preparing routine reports, and managing correspondence.
- Assist in the registration and comprehensive management of library users' accounts, ensuring adherence to university policies.
- Contribute proactively to creating a welcoming, inclusive, and highly efficient library environment for all students, faculty, and community users.
Required Skills
- High school diploma or its equivalent.
- Demonstrated basic computer proficiency, including practical familiarity with Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional organizational skills and an unwavering attention to detail and accuracy.
- Proven ability to work effectively both independently with minimal supervision and collaboratively as an integral part of a team.
- Strong communication and interpersonal skills, capable of interacting courteously and effectively with a diverse range of individuals.
- Physical ability to lift and move library materials (up to 25 lbs) and to stand/walk for extended periods during shifts.
- A genuine, demonstrated interest in library services, information organization, and supporting an academic mission.
Preferred Qualifications
- A Certificate or Diploma in Library and Information Science, Archival Studies, Records Management, or a closely related field.
- Previous professional or volunteer experience working in a library, archives, or a structured administrative office setting.
- Familiarity with integrated library systems (ILS) software or general database management principles.
- Basic knowledge of cataloging principles, such as the Dewey Decimal Classification or Library of Congress Classification.
- Fluency in both Swahili and English, spoken and written.
