Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner, managing check-ins and check-outs efficiently.
  • Schedule and confirm patient appointments, manage physician calendars, and handle appointment changes or cancellations.
  • Answer and direct phone calls, taking accurate messages and relaying information to appropriate medical staff.
  • Maintain electronic and paper medical records, ensuring accuracy, confidentiality, and compliance with privacy regulations (e.g., PHIA, PIPEDA).
  • Process patient billing, collect payments, and manage insurance claims and inquiries.
  • Prepare examination rooms, ensuring they are clean, stocked, and ready for patient consultations.
  • Order and manage office and medical supplies, ensuring adequate stock levels.
  • Assist with basic clinical tasks as needed and within scope, such as taking vital signs or preparing patients for examinations.
  • Handle incoming and outgoing mail, faxes, and emails, ensuring timely distribution and response.
  • Maintain a clean and organized reception area and workspace.
  • Collaborate effectively with physicians, nurses, and other healthcare professionals to optimize clinic operations and patient care.

Required Skills

  • Completion of a Medical Office Assistant program or equivalent diploma/certificate.
  • Minimum of 1-2 years of experience in a medical office or healthcare setting.
  • Proficiency with Electronic Medical Records (EMR) systems (e.g., Accuro, Med Access).
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong interpersonal and communication skills, both verbal and written.
  • Demonstrated ability to maintain patient confidentiality and adhere to ethical standards.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a collaborative team.

Preferred Qualifications

  • Experience with medical billing software and processes.
  • Knowledge of medical terminology and common clinical procedures.
  • First Aid and CPR certification.
  • Familiarity with local healthcare regulations and practices in Nova Scotia.
