Job Description

We are seeking a highly motivated and empathetic Medical Receptionist to join our dedicated team at Baringo County Referral Hospital. As the first point of contact for our patients and visitors, you will play a crucial role in shaping their experience and ensuring the smooth operation of our front desk. This position demands exceptional organizational skills, a friendly demeanor, and the ability to manage multiple tasks efficiently in a fast-paced environment. You will be responsible for creating a welcoming atmosphere, handling patient inquiries, scheduling appointments, and maintaining accurate patient records.

Your primary objective will be to provide outstanding administrative support, ensuring that all interactions are professional, confidential, and efficient. Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls, taking messages as necessary.
  • Schedule and confirm patient appointments, managing the appointment book efficiently.
  • Register new patients and update existing patient demographic and insurance information.
  • Verify patient insurance eligibility and process co-payments or fees.
  • Maintain patient confidentiality in accordance with hospital policies and data protection regulations.
  • Direct patients to appropriate departments or services.
  • Manage incoming and outgoing mail and deliveries.
  • Prepare and maintain patient charts and electronic medical records.
  • Handle patient inquiries and provide accurate information about hospital services.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Assist with other administrative tasks as assigned by supervisors.

Required Skills

  • High school diploma or equivalent (KCSE certificate).
  • Minimum of 1 year experience in a front desk or customer service role, preferably in a medical setting.
  • Excellent verbal and written communication skills in English and Kiswahili.
  • Proficiency in basic computer applications (MS Office Suite).
  • Strong organizational and time management skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Empathetic and compassionate approach to patient interaction.
  • High level of professionalism and discretion regarding confidential information.
  • Attention to detail and accuracy in record keeping.

Preferred Qualifications

  • Certificate or Diploma in Secretarial Studies, Business Administration, or a related field.
  • Familiarity with medical terminology and healthcare administrative procedures.
  • Experience with Electronic Health Record (EHR) systems.
  • Ability to speak local languages common in Baringo County.
