Key Responsibilities

  • Warmly greet and register patients and visitors, ensuring a positive first impression.
  • Schedule and confirm patient appointments, managing the doctor's calendar efficiently.
  • Answer multi-line phone systems, direct calls, and take accurate messages.
  • Process patient admissions and discharges, including data entry and paperwork.
  • Verify patient insurance information and collect co-payments or outstanding balances.
  • Maintain accurate and confidential patient records (both electronic and physical) in compliance with privacy regulations.
  • Manage waiting areas, ensuring cleanliness, orderliness, and comfort for patients.
  • Handle general office duties such as filing, scanning, faxing, and mail distribution.
  • Liaise effectively with medical staff, nurses, and other departments to ensure smooth patient flow and communication.
  • Respond to patient inquiries with professionalism and empathy, providing necessary information or directing them to appropriate resources.

Required Skills

  • Exceptional verbal and written communication skills (English and Kiswahili fluency).
  • Proficiency in medical office software and electronic health record (EHR) systems.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Excellent interpersonal and customer service skills, demonstrating empathy and patience.
  • Ability to maintain strict patient confidentiality (knowledge of data protection acts is a plus).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Preferred Qualifications

  • Post-secondary education or certification in Medical Office Administration, Front Office Operations, or a related field.
  • Experience with specific hospital management systems (e.g., Meditech, Epic, or local Kenyan healthcare platforms).
  • First Aid and Basic Life Support (BLS) certification.
