Key Responsibilities
- Greet and welcome patients and visitors in a professional and friendly manner.
- Register new patients and update existing patient demographic and insurance information.
- Schedule and confirm patient appointments, procedures, and follow-ups.
- Answer multi-line phones, direct calls, and take messages accurately and efficiently.
- Collect co-payments, deductibles, and other patient financial responsibilities.
- Process patient admissions and discharges, ensuring all necessary paperwork is completed.
- Maintain patient records with strict confidentiality in compliance with hospital policies.
- Manage incoming and outgoing mail, faxes, and electronic communications.
- Assist with general administrative tasks, including filing, scanning, and data entry.
- Coordinate with clinical staff and other departments to ensure seamless patient flow.
- Handle patient inquiries and provide basic information regarding hospital services and policies.
- Maintain cleanliness and organization of the reception area.
Required Skills
- Proven experience as a Medical Receptionist or in a similar administrative role within a healthcare setting.
- Excellent verbal and written communication skills in English and Kiswahili.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer literacy.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Exceptional customer service and interpersonal skills.
- Ability to maintain composure and professionalism under pressure.
- High level of integrity and discretion when handling confidential patient information.
Preferred Qualifications
- Diploma or Certificate in Office Administration, Medical Records, or a related field.
- Familiarity with hospital information systems (HIS) or electronic health records (EHR) software.
- Basic knowledge of medical terminology and hospital procedures.
- Experience working in a busy hospital or clinic environment.
- First Aid and CPR certification.
