Key Responsibilities

  • Organize, maintain, and retrieve patient medical records in accordance with established procedures and privacy regulations.
  • Accurately file and scan patient documents into electronic health record (EHR) systems.
  • Ensure the completeness, accuracy, and appropriate coding of all medical documentation.
  • Process requests for medical records from authorized personnel, maintaining strict confidentiality.
  • Assist with the auditing of medical records to ensure compliance with legal and regulatory standards.
  • Manage incoming and outgoing correspondence related to medical records.
  • Maintain inventory of medical record supplies and forms.
  • Provide administrative support to the medical team as needed.
  • Participate in ongoing training and development relevant to medical record management and privacy laws.

Required Skills

  • Minimum of 1 year of experience in a medical records or administrative role, preferably in a healthcare setting.
  • Proficiency in using electronic health record (EHR) systems and general office software (e.g., Microsoft Office Suite).
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong understanding of patient confidentiality and HIPAA regulations (or local equivalents).
  • Ability to work independently and collaboratively within a team environment.
  • Excellent written and verbal communication skills in English and Portuguese.
  • High school diploma or equivalent.

Preferred Qualifications

  • Diploma or certification in Medical Office Administration, Health Information Management, or a related field.
