As a Medical Records Clerk, you will be responsible for a variety of tasks that demand precision and adherence to strict protocols. Your daily activities will include the precise entry of data into our digital health information systems, meticulous filing and archiving of physical documents, and ensuring that all records are easily retrievable when needed. Confidentiality is paramount in this position, and you will be entrusted with sensitive patient and program information, requiring an unwavering commitment to ethical handling and strict data privacy standards.

Key Responsibilities

  • Accurately enter patient and program data into designated electronic health records (EHR) systems and databases.
  • Organize, file, and retrieve physical medical records, ensuring proper indexing and easy accessibility.
  • Maintain strict confidentiality of all patient and program information in accordance with organizational policies and data privacy regulations.
  • Assist with the preparation and compilation of reports by extracting relevant data from records.
  • Verify the completeness and accuracy of medical records, identifying and rectifying discrepancies.
  • Assist healthcare professionals and program staff in retrieving records as needed for patient care, research, or program evaluation.
  • Adhere to all record-keeping policies and procedures established by AMREF Health Africa.
  • Participate in ongoing training and professional development related to medical record management and data privacy.

Required Skills

  • High school diploma or equivalent.
  • Basic computer literacy, including proficiency in Microsoft Office Suite (Word, Excel).
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to maintain strict confidentiality.
  • Excellent written and verbal communication skills in English.
  • A strong willingness to learn and adapt to new systems and processes.

Preferred Qualifications

  • Prior administrative or office experience, even in a non-medical setting.
  • Familiarity with basic medical terminology.
  • Ability to communicate effectively in Swahili.
  • Experience with data entry or record-keeping systems.
