Key Responsibilities

  • Manage and maintain physician schedules, appointments, and patient referrals efficiently.
  • Greet patients and visitors warmly, providing assistance and ensuring a positive experience.
  • Handle incoming calls, emails, and correspondence, directing inquiries appropriately.
  • Prepare and process medical records, reports, and other documentation with accuracy and confidentiality.
  • Process billing and insurance claims, ensuring compliance with regulations.
  • Order and maintain office supplies and equipment, ensuring the smooth operation of the clinic.
  • Assist with patient registration, updates, and follow-up communications.
  • Maintain a clean, organized, and professional reception area.
  • Collaborate with medical staff to optimize workflow and patient care.
  • Adhere to all privacy regulations (e.g., PHIPA, FIPPA) and clinic policies.

Required Skills

  • Minimum of 2 years of experience as a Medical Secretary or in a similar administrative healthcare role.
  • Proficiency in medical terminology and healthcare administrative procedures.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time management abilities with attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and medical office software.
  • Ability to maintain strict patient confidentiality and handle sensitive information.
  • Demonstrated ability to multitask and prioritize in a busy clinic environment.
  • Strong interpersonal skills with a patient-first approach.
  • Eligibility for visa sponsorship in Canada.

Preferred Qualifications

  • Completion of a Medical Office Assistant or Medical Administration program.
  • Experience with Electronic Medical Records (EMR) systems, specifically Oscar or Med Access.
  • Familiarity with billing procedures for British Columbia’s Medical Services Plan (MSP).
  • Ability to communicate in a second language relevant to West Vancouver's diverse population.
