Key Responsibilities

  • Warmly greet and assist all late-night arrivals (guests, clients, or visitors) with a professional and helpful demeanor.
  • Efficiently manage a multi-line phone system, directing calls, taking messages, and responding to inquiries promptly.
  • Perform various administrative duties including data entry, filing, email correspondence, and preparing daily reports for morning staff.
  • Monitor security systems, ensure compliance with established safety protocols, and maintain a secure environment during the night shift.
  • Address and resolve minor guest/client issues or concerns independently, escalating more complex situations to appropriate personnel when necessary.
  • Maintain the cleanliness and organization of the reception area, ensuring a welcoming first impression at all times.
  • Process check-ins and check-outs, manage reservations, and handle payment transactions with accuracy and discretion (if applicable to the client's industry).
  • Conduct regular rounds or checks of the premises as required to ensure everything is in order.
  • Prepare comprehensive summaries of overnight activities, incidents, and significant events for smooth handover to the day shift team.

Required Skills

  • Excellent verbal and written communication skills in English.
  • Proven ability to work independently and manage time effectively without direct supervision.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
  • Exceptional customer service orientation with a polite and professional phone etiquette.
  • Demonstrated problem-solving capabilities and ability to remain calm under pressure.
  • Reliability and punctuality, especially for consistent night shift attendance.

Preferred Qualifications

  • Previous experience in a night shift, hospitality, or front desk role.
  • Familiarity with property management systems (PMS) or similar booking software.
  • Bilingualism (e.g., English and Punjabi or French) is considered an asset.
  • Post-secondary education in hospitality, office administration, or a related field.
  • Current First Aid and CPR certification.
