Key Responsibilities
- Perform general administrative duties, including meticulous filing, scanning, copying, and maintaining organised physical and digital office records.
- Assist with data entry tasks, ensuring high levels of accuracy and attention to detail for various reports and systems.
- Manage incoming and outgoing correspondence, including sorting mail, preparing outgoing letters, and handling courier packages.
- Answer and direct incoming phone calls with professionalism, clarity, and exceptional communication skills, taking messages as needed.
- Greet visitors warmly and assist them as required, ensuring a welcoming and tidy reception area.
- Monitor and maintain adequate office supplies inventory, placing orders for replenishment when necessary and ensuring cost-effectiveness.
- Assist in scheduling appointments, coordinating meetings, and managing calendar invites for team members.
- Support various departments with ad-hoc administrative tasks and special projects, demonstrating flexibility and initiative.
- Ensure the office environment remains tidy, organised, and conducive to a productive workflow.
- Operate and troubleshoot standard office equipment such as multi-function printers, scanners, and computers.
Required Skills
- Strong verbal and written communication skills in English.
- Basic computer literacy (proficient in MS Office Suite, specifically Word, Excel, and Outlook).
- Excellent organisational and time management abilities, with a capacity to prioritise tasks.
- High level of attention to detail and accuracy in all tasks.
