Key Responsibilities

  • Manage incoming and outgoing correspondence, including mail, emails, and phone calls, directing them to the appropriate personnel.
  • Maintain and organize office filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Assist in scheduling appointments, meetings, and coordinating branch events.
  • Prepare and format documents, reports, presentations, and other materials as required by staff.
  • Oversee office supplies inventory, placing orders when necessary, and ensuring proper stocking levels.
  • Maintain a clean, organized, and professional office environment at all times.
  • Provide general administrative support, including data entry, photocopying, scanning, and filing.
  • Assist with basic IT support and troubleshooting for office equipment like printers and copiers.
  • Handle petty cash and reconcile basic expenses, ensuring accurate record-keeping.
  • Welcome and direct visitors and clients, providing a positive first impression and excellent front-desk service.
  • Support various departments with ad-hoc administrative tasks to ensure operational continuity and efficiency.
  • Ensure strict compliance with office policies, procedures, and data confidentiality guidelines.

Required Skills

  • Proven experience as an Office Assistant, Administrative Assistant, or similar role (minimum 2 years).
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills in English and Kiswahili.
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work independently with minimal supervision and collaboratively as part of a team.
  • Proactive attitude with a strong sense of responsibility and initiative.
  • Demonstrated customer service-oriented approach.

Preferred Qualifications
