Key Responsibilities

  • Manage and organize physical and digital filing systems, ensuring accuracy, security, and easy retrieval of documents.
  • Process incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate personnel in a timely manner.
  • Prepare, sort, and distribute invoices, receipts, reports, and other financial and administrative documents, ensuring compliance with internal procedures.
  • Operate standard office equipment, including photocopiers, scanners, printers, and fax machines, performing basic troubleshooting when necessary.
  • Maintain office supplies inventory by checking stock levels, anticipating needs, placing orders with approved vendors, and verifying receipt of deliveries.
  • Assist with extensive data entry tasks, ensuring all information is accurately recorded and updated in company databases and systems.
  • Provide general administrative support to various departments as needed, including scheduling appointments, managing calendars, and preparing meeting rooms.
  • Handle confidential information with the utmost discretion and integrity, adhering strictly to data protection policies.
  • Respond to internal and external inquiries via phone, email, and in person in a professional, courteous, and timely manner.

Required Skills

  • Proven experience in an administrative or office support role (minimum 12 months).

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for document creation, data management, and communication.
  • Strong attention to detail and accuracy, particularly in handling financial and sensitive information.
