Key Responsibilities

  • Accurately file and retrieve physical and electronic documents according to established protocols.
  • Perform data entry tasks, updating internal databases and spreadsheets with critical logistical and administrative information.
  • Assist in preparing, formatting, and distributing various reports, presentations, and internal/external correspondence.
  • Maintain organized document storage systems, ensuring easy accessibility and secure retrieval for authorized personnel.
  • Operate office equipment such as scanners, photocopiers, and fax machines for document processing.
  • Support the administrative team with a variety of general office duties, including answering and directing phone calls, managing office supplies, and scheduling basic appointments.
  • Ensure strict confidentiality and security of all company, client, and operational information.
  • Collaborate effectively with team members across departments to identify and implement improvements in documentation processes.
  • Actively participate in training sessions and adhere strictly to all company policies and procedures related to document management and office administration.

Required Skills

  • High school diploma or equivalent qualification.
  • Basic proficiency in computer usage, particularly with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and time management skills with an ability to multitask effectively.
  • Strong attention to detail and a commitment to accuracy in all tasks.
  • Effective written and verbal communication skills in Portuguese and English.
  • Ability to work both independently and collaboratively as part of a team.
  • A proactive, eager-to-learn attitude with a strong sense of responsibility.
  • Demonstrated discretion and ability to handle confidential and sensitive information appropriately.

Preferred Qualifications
