Key Responsibilities

  • Oversee general office operations, ensuring a professional and efficient environment.
  • Manage office supplies inventory, place orders, and maintain relationships with vendors.
  • Coordinate and schedule internal and external meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for office-related inquiries, visitors, and deliveries.
  • Maintain office equipment, ensuring functionality and arranging for repairs as needed.
  • Assist with onboarding new employees, including workstation setup and initial administrative tasks.
  • Organize company events, team lunches, and other social gatherings.
  • Manage incoming and outgoing mail and packages.
  • Support the management team with various administrative tasks and special projects.
  • Ensure compliance with health, safety, and security regulations within the office.
  • Develop and implement office policies and procedures to improve efficiency.

Required Skills

  • Proven experience as an Office Manager or in a similar administrative role (minimum 2 years).
  • Excellent organizational and time management skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong verbal and written communication skills in English and German.
  • Ability to prioritize tasks and work independently with minimal supervision.
