Key Responsibilities
- Warmly greet and welcome all visitors and clients in a professional and friendly manner, ensuring a positive first impression.
- Efficiently answer, screen, and accurately forward incoming phone calls, providing basic information and taking messages when required.
- Receive, sort, and distribute daily mail, deliveries, and courier packages promptly and accurately.
- Manage and meticulously maintain the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary materials at all times.
- Schedule and meticulously coordinate appointments, meetings, and conference room bookings for staff and management.
- Provide comprehensive general administrative and clerical support, including photocopying, scanning, filing, and managing correspondence.
- Assist with precise data entry and the meticulous maintenance of various office records and databases.
- Monitor and proactively order office supplies, ensuring adequate stock levels and managing vendor relationships.
- Handle client inquiries with professionalism and discretion, directing them to the appropriate department or individual for resolution.
- Operate standard office equipment proficiently, such as computers, printers, scanners, and multi-line phone systems.
- Maintain strict security protocols by following established procedures, controlling access, monitoring the visitor logbook, and issuing visitor badges.
- Perform other ad-hoc administrative duties and support tasks as assigned by management to ensure smooth office operations.
Required Skills
- Proven work experience (minimum 1 year) as a Receptionist, Front Office Representative, or in a similar customer-facing administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for daily administrative tasks.
- Solid written and verbal communication skills in both English and Sesotho, with a professional phone etiquette.
- Excellent organizational and time management abilities, with a keen eye for detail and the capacity to multitask effectively.
- Strong customer service orientation, coupled with a professional and approachable demeanor.
- Ability to be highly resourceful and proactive when identifying and resolving issues.
