Key Responsibilities
- Warmly greet and welcome patients and visitors in a professional and friendly manner.
- Manage patient check-in and check-out processes efficiently, including verification of demographic and insurance information.
- Schedule and confirm appointments, manage cancellations, and reschedule patients as needed.
- Answer multi-line phones, respond to inquiries, and direct calls to the appropriate department or personnel.
- Collect co-payments, deductibles, and outstanding balances, accurately processing transactions and issuing receipts.
- Maintain patient records with the utmost confidentiality and accuracy, adhering to HIPAA guidelines.
- Process referrals, authorizations, and necessary paperwork for patient care.
- Assist with maintaining the cleanliness and organization of the reception area.
- Communicate effectively with clinical staff to ensure seamless patient flow and address any issues promptly.
- Educate patients on office policies, procedures, and available services.
Required Skills
- High School Diploma or GED equivalent.
- 1+ years of experience in a medical office or customer service role, preferably in healthcare.
- Proficiency with Electronic Health Records (EHR) systems and medical scheduling software.
- Exceptional interpersonal and communication skills, both verbal and written.
- Strong organizational abilities and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Demonstrated empathy and patience when interacting with patients.
- Working knowledge of medical terminology and insurance verification processes.
- Basic computer proficiency (Microsoft Office Suite, email).
Preferred Qualifications
- Associate's Degree in healthcare administration or a related field.
- Experience with Epic, Cerner, NextGen, or other specific EHR systems.
- Bilingual proficiency (English/Spanish) is a significant plus.
- Certification as a Medical Administrative Assistant (CMAA).
