Key Responsibilities
- Process end-to-end payroll for all employees accurately and on schedule, including salaries, wages, bonuses, and commissions.
- Ensure compliance with all local and national payroll regulations, tax laws (PAYE), NSSF, NHIF, and other statutory deductions in Kenya.
- Maintain accurate payroll records and employee data in the HRIS/payroll system, ensuring confidentiality and integrity.
- Prepare and submit statutory returns (e.g., PAYE, NSSF, NHIF) on time, liaising with relevant authorities as required.
- Administer employee benefits such as medical aid, pension schemes, and leave management in conjunction with HR.
- Reconcile payroll accounts and resolve any payroll discrepancies or issues promptly and efficiently.
- Generate payroll reports for management, accounting, and audit purposes.
- Respond to employee queries regarding payroll in a professional and timely manner.
- Assist in year-end payroll processing and preparation of P9 forms.
- Stay updated with changes in payroll legislation and best practices to ensure continuous compliance.
Required Skills
- Minimum of 3 years of proven experience as a Payroll Administrator in Kenya.
- In-depth knowledge of Kenyan labor laws, PAYE, NSSF, NHIF, and other payroll-related statutory requirements.
- Proficiency in payroll software (e.g., QuickBooks, Sage VIP, or similar HRIS/payroll systems).
- Advanced Microsoft Excel skills (pivot tables, VLOOKUP, data analysis).
- Exceptional attention to detail and accuracy.
- Strong analytical and problem-solving abilities.
- Excellent organizational and time management skills, with the ability to meet strict deadlines.
- High level of integrity and ability to maintain strict confidentiality.
- Strong communication skills, both written and verbal.
Preferred Qualifications
- Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
- Professional certification in Payroll Management (e.g., IPPM certification).
- Experience with an integrated HR and payroll system.
