Job Description

We are actively seeking a highly organized and detail-oriented Payroll Clerk to join our Finance Department in East Sacramento. This pivotal role is responsible for ensuring the accurate and timely processing of payroll for all employees, which is fundamental to our operational integrity and employee satisfaction. The ideal candidate will possess a strong understanding of payroll processes, regulations, and best practices, coupled with a meticulous approach to data management and compliance.

As a Payroll Clerk, you will be the primary point of contact for timecard collection and verification, ensuring all hours worked are correctly recorded. Your duties will encompass the precise calculation of wages, deductions, and withholdings, always adhering strictly to federal, state, and local labor laws. Beyond the routine processing tasks, you will maintain comprehensive payroll records, meticulously resolve any discrepancies that may arise, and provide essential support for various financial reporting activities. Key Responsibilities

  • Process bi-weekly payroll for all employees accurately and on time, including wages, bonuses, commissions, and expense reimbursements.
  • Verify timecards and other payroll-related data, ensuring accuracy and strict adherence to company policies and relevant labor laws.
  • Calculate and process payroll deductions, including federal, state, and local taxes, benefits premiums, and garnishments.
  • Maintain accurate and up-to-date payroll records, employee files, and all related documentation in compliance with regulatory requirements.
  • Prepare and submit required payroll reports to internal management and external agencies (e.g., tax filings, W-2s, 941s).
  • Respond to employee inquiries regarding payroll, deductions, and benefits in a professional, empathetic, and timely manner.
  • Assist with month-end and year-end close procedures related to payroll accounts and reconciliation.
  • Ensure continuous compliance with all federal, state, and local payroll, wage, and hour regulations.
  • Reconcile payroll accounts, identify and resolve any discrepancies or issues promptly and effectively.
  • Collaborate effectively with HR and other departments to ensure seamless information flow and process efficiency.
  • Stay informed about changes in payroll legislation and advise management on necessary adjustments.

Required Skills

  • Proven experience as a Payroll Clerk or in a similar financial administrative role (2+ years).
  • Solid understanding of payroll processes, regulations, and best practices.
  • Proficiency with payroll software (e.g., ADP, Paychex, QuickBooks Payroll) and Microsoft Office Suite, especially advanced Excel skills.
  • Strong mathematical aptitude and analytical problem-solving skills.
  • Exceptional attention to detail and unwavering commitment to accuracy.
  • Demonstrated ability to handle confidential information with the utmost discretion and integrity.
  • Excellent written and verbal communication and interpersonal skills.
  • High school diploma or GED equivalent.

Preferred Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) designation.
  • Experience with HRIS (Human Resources Information System) integration and management.
  • Familiarity with California labor laws and specific state payroll regulations.
  • Experience in a fast-paced, multi-entity, or medium-to-large organization.
