Career.zycto is excited to be recruiting for a highly organized, proactive, and discreet Personal Assistant specializing in diary management and travel arrangements for a prominent individual based in Harpurhey, Manchester. This pivotal role requires an individual with exceptional attention to detail, strong administrative capabilities, and the ability to anticipate needs and manage complex schedules with precision. As a Personal Assistant focusing on Diary & Travel, you will be the linchpin in ensuring the smooth and efficient operation of your principal’s professional and, at times, personal calendar.

You will be entrusted with the full scope of diary management, meticulously scheduling appointments, meetings, and conferences, managing conflicts, and ensuring all stakeholders are well-informed. This extends to preparing all necessary documentation and briefs for engagements, ensuring your principal is fully prepared for every commitment. A significant part of this role will involve comprehensive travel planning, both domestic and international. This includes researching and booking flights, accommodation, ground transportation, and managing all related logistics such as visas, itineraries, and expense reconciliation. You will be expected to identify the most efficient and cost-effective travel solutions while prioritizing comfort and convenience.

Beyond the logistical elements, this role demands a high degree of confidentiality, discretion, and a professional demeanor. You will often be the first point of contact for external parties, requiring excellent communication skills, both written and verbal. Key Responsibilities

  • Manage and maintain complex diaries, scheduling appointments, meetings, and conferences with meticulous attention to detail.
  • Coordinate and arrange comprehensive travel itineraries, including flights, accommodation, ground transportation, and visa applications for both domestic and international trips.
  • Prepare all necessary documentation, briefs, and itineraries for meetings and travel, ensuring the principal is fully informed and prepared.
  • Act as a primary point of contact, handling incoming communications, screening calls, and responding to emails with professionalism and discretion.
  • Process and reconcile expenses related to travel and other activities, ensuring accuracy and adherence to company policies.
  • Anticipate needs and proactively resolve potential scheduling conflicts or travel disruptions.
  • Maintain strict confidentiality regarding all sensitive information and professional matters.
  • Provide general administrative support as required, contributing to the smooth operation of daily activities.

Required Skills

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role with a strong focus on diary and travel management.
  • Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills, with a professional and discreet approach.
