Job Description

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive management and administrative support to senior leadership within our dynamic organization. The successful candidate will play a critical role in ensuring the efficient operation of our executives’ schedules, communications, and administrative functions, enabling them to focus on strategic initiatives and high-level decision-making. Key Responsibilities

  • Manage complex calendars, scheduling appointments, meetings, and conferences, and ensuring timely reminders and necessary documentation are prepared.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries, optimizing for efficiency and executive preference.
  • Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy, grammatical correctness, and professional presentation in line with corporate standards.
  • Handle incoming communications (phone calls, emails, mail), screening, prioritizing, and responding or redirecting as appropriate, maintaining professional etiquette.
  • Organize and maintain comprehensive filing systems, both digital and physical, ensuring easy retrieval of information and adherence to data management policies.
  • Process expense reports, manage invoices, and assist with budget tracking for assigned executives, ensuring compliance with company financial procedures.
  • Plan and coordinate internal and external events, meetings, and workshops, including venue booking, catering, technology setup, and logistics, ensuring smooth execution.
  • Act as a liaison between executives and internal/external stakeholders, maintaining professional relationships and facilitating effective communication.
  • Conduct research, compile data, and prepare concise summaries to support executive decision-making and project initiatives.
  • Handle confidential information with the utmost discretion and integrity, upholding company standards and privacy policies at all times.
  • Provide general administrative support, including office supplies management, equipment coordination, and ensuring a well-functioning executive office environment.

Required Skills

  • Proven experience (minimum 3 years) as a Personal Assistant, Executive Assistant, or similar administrative role supporting senior management.
  • Exceptional organizational and time management skills with the ability to prioritize and multitask effectively in a fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) for document creation, communication, and scheduling.
  • Excellent written and verbal communication skills in both English and French, demonstrating clarity and professionalism.
  • Strong interpersonal skills with the ability to build rapport, communicate effectively, and work collaboratively with diverse stakeholders.
  • High level of discretion, professionalism, and the ability to handle confidential information with impeccable integrity.
  • Proactive attitude with strong problem-solving capabilities, attention to detail, and a resourceful approach to challenges.

Preferred Qualifications

  • A diploma or degree in Business Administration, Secretarial Studies, or a related field.
