Job Description

We are actively seeking a highly skilled, exceptionally organized, and discreet Personal Assistant to provide comprehensive management and administrative support to our senior leadership team at our Port Louis office. This critical role demands an individual with an acute attention to detail, a proactive mindset, and the innate ability to anticipate needs, ensuring the seamless execution of daily operations for our executives. Key Responsibilities

  • Manage and maintain complex executive calendars, scheduling appointments, meetings, and conferences with precision.
  • Organise and coordinate comprehensive domestic and international travel logistics, including flights, accommodation, visa applications, and ground transportation.
  • Prepare, proofread, and compile reports, presentations, and correspondence, ensuring accuracy, adherence to brand guidelines, and professional presentation.
  • Serve as the primary point of contact for internal and external stakeholders, screening calls and emails, and directing inquiries appropriately and efficiently.
  • Coordinate and prepare agendas for meetings, attend and accurately minute discussions, and meticulously follow up on assigned action items to ensure timely completion.
  • Handle highly confidential information and sensitive matters with the utmost discretion, integrity, and professionalism.
  • Process expense reports, invoices, and other financial documentation in a timely and accurate manner, ensuring compliance with company policies.
  • Assist with personal tasks and errands for executives as required, optimising their time and focus on business priorities.
  • Maintain highly organised and accessible filing systems, both physical and digital, for critical documents and records.
  • Proactively anticipate upcoming needs and autonomously prepare necessary documents, information packets, or logistical arrangements.
  • Provide comprehensive administrative support for special projects and initiatives as assigned by the senior management team.

Required Skills

  • Minimum of 3 years of proven experience as a Personal Assistant or Executive Assistant supporting senior management.
  • Exceptional organisational, planning, and time management skills, with the ability to manage multiple priorities.
  • Superior verbal and written communication skills in both English and French.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.
  • Demonstrated ability to exercise a high level of discretion, confidentiality, and integrity.
  • Proven capacity to multitask, prioritise effectively, and maintain composure while working under pressure and tight deadlines.
  • Proactive attitude, strong problem-solving abilities, and a keen eye for detail.
  • Excellent interpersonal skills, a professional demeanor, and the ability to build rapport with diverse stakeholders.

Preferred Qualifications

  • A Diploma or Bachelor's Degree in Business Administration, Office Management, or a related field.
  • Prior experience working within a large, diversified group, conglomerate, or corporate environment.
  • Familiarity with modern project management tools or enterprise resource planning (ERP) systems.
  • Additional language proficiency (e.g., Mauritian Creole, Hindi, Mandarin) is an advantage.
