As our Procurement Assistant, you will be the backbone of our purchasing department, responsible for managing the end-to-end order processing lifecycle. This includes everything from verifying requisitions and generating purchase orders in our system to tracking deliveries and resolving any discrepancies that may arise. Your precision will directly impact our ability to meet operational demands and maintain cost-effectiveness. Beyond the administrative tasks, a significant part of your role will involve acting as a key liaison between Career.zycto and our diverse network of suppliers. You will communicate regularly with vendors to obtain quotes, negotiate terms, resolve delivery issues, and ensure compliance with our procurement policies.

Key Responsibilities

  • Process purchase requisitions and generate purchase orders accurately and efficiently.
  • Liaise with internal departments to clarify requirements and ensure timely procurement.
  • Communicate daily with suppliers regarding order status, delivery schedules, and product specifications.
  • Track and monitor orders from placement through to delivery, resolving any delays or issues promptly.
  • Maintain accurate and up-to-date supplier information, pricing, and contract details within the procurement system.
  • Assist in negotiating favourable terms with suppliers and sourcing new vendors when required.
  • Reconcile invoices against purchase orders and delivery notes, escalating discrepancies for resolution.
  • Prepare regular reports on procurement activities, supplier performance, and cost savings.
  • Contribute to the continuous improvement of procurement processes and policies.
  • Support the procurement team with various administrative tasks as needed.

Required Skills

  • Proven experience in an administrative or procurement support role.
  • Strong understanding of purchase order processing and supply chain fundamentals.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
  • Strong organisational and time management skills.
  • Demonstrated problem-solving abilities.

Preferred Qualifications

  • Experience with procurement software or ERP systems (e.g., SAP, Oracle, NetSuite).
  • A relevant qualification in Business Administration, Supply Chain Management, or a related field.
  • Experience working with a diverse range of suppliers and vendors.
  • Knowledge of contract management principles.
