Key Responsibilities
- Process purchase requisitions and convert them into accurate purchase orders efficiently.
- Liaise daily with suppliers to confirm orders, track deliveries, resolve discrepancies promptly, and build strong working relationships.
- Maintain and update comprehensive procurement records, supplier databases, and contract files to ensure data accuracy and compliance.
- Assist in securing favorable pricing and delivery schedules through effective supplier communication and negotiation.
- Monitor stock levels to identify procurement needs and proactively prevent operational shortages.
- Prepare regular reports on procurement activities, supplier performance, and cost savings initiatives.
- Collaborate with internal departments (e.g., finance, operations) to understand their specific needs and ensure timely procurement of required items.
- Handle invoicing queries and work closely with the finance team to ensure timely and accurate payments.
- Support the Procurement Manager with various administrative tasks, data analysis, and special projects as needed.
- Strictly adhere to company procurement policies, procedures, and ethical guidelines at all times.
Required Skills
- Minimum of 1.5 years of experience in a procurement, administrative, or supply chain support role.
- Proven ability to accurately process orders and manage supplier communications effectively.
- Exceptional organizational skills and meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for data management and communication.
- Strong verbal and written communication and interpersonal skills, essential for internal and external liaison.
- Ability to work independently and collaboratively as part of a team in a dynamic and fast-paced environment.
- Demonstrated problem-solving capabilities and a proactive approach to challenges.
- Legally eligible to work in the UK.
