Key Responsibilities
- Assist the procurement team with daily administrative tasks, including accurate data entry and meticulous record keeping.
- Support in preparing purchase orders, requisitions, and other procurement-related documentation following company guidelines.
- Communicate effectively with suppliers and vendors to follow up on orders, delivery schedules, and resolve minor discrepancies under supervision.
- Help maintain and update vendor databases, ensuring accuracy and completeness of information for efficient operations.
- Participate in inventory management activities, assisting with stock checks, reconciliation, and movement tracking.
- Learn and adhere to company procurement policies, procedures, and ethical guidelines to ensure compliance.
- Assist in market research to identify potential suppliers, compare product specifications, and analyze pricing for cost-effectiveness.
- Support the preparation of reports on procurement activities, supplier performance, and expenditure analysis.
- Collaborate with internal departments to understand their material and service requirements and facilitate timely acquisition.
Required Skills
- High school diploma or equivalent; a diploma or certificate in business administration, supply chain, or related field is a plus.
- Exceptional attention to detail and accuracy in data entry and documentation.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in English and Swahili.
- Proficiency in basic computer applications, including Microsoft Office Suite (Word, Excel, Outlook).
- A proactive attitude, strong willingness to learn, and adaptability in a dynamic environment.
Preferred Qualifications
- Previous internship or entry-level experience (up to 6 months) in an office administrative or procurement support role.
- Basic understanding of procurement principles and supply chain processes.
