Job Description

We are seeking a highly organized and detail-oriented Procurement Office Assistant to join our vibrant team at Uroa Bay Beach Resort. This crucial role supports the Procurement Department in ensuring the smooth and efficient acquisition of goods and services necessary for the resort’s operations. The Procurement Office Assistant will be instrumental in managing administrative tasks, maintaining supplier relationships, and ensuring that all procurement activities adhere to company policies and standards.

Key Responsibilities

  • Assist the Procurement Officer in daily purchasing activities and administrative tasks.
  • Prepare and process purchase orders and requisitions in accordance with company guidelines.
  • Maintain accurate records of all procurement transactions, including orders, deliveries, and invoices.
  • Liaise with suppliers to track orders, confirm delivery schedules, and resolve any discrepancies.
  • Coordinate with various internal departments (e.g., F&B, Housekeeping, Maintenance) to understand their material and supply requirements.
  • Conduct basic market research to identify potential suppliers and compare prices, quality, and delivery terms.
  • Assist in managing inventory levels and conducting periodic stock counts to ensure accuracy.
  • Ensure compliance with all relevant procurement policies, procedures, and ethical standards.
  • Perform general office duties such as filing, data entry, and responding to procurement-related inquiries.

Required Skills

  • Proven experience in an administrative or office support role, preferably in procurement.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Good communication and interpersonal skills, both written and verbal in English and Swahili.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Basic understanding of procurement processes and principles.

Preferred Qualifications

  • A diploma or certificate in Procurement, Supply Chain Management, Business Administration, or a related field.
  • Previous experience in the hospitality industry, particularly in a resort or hotel setting.
