Key Responsibilities

  • Provide comprehensive administrative and logistical support to Project Managers and project teams.
  • Assist in the planning, execution, and monitoring of various projects and initiatives.
  • Coordinate project schedules, meetings, workshops, and related logistical arrangements.
  • Prepare and maintain detailed project documentation, including reports, presentations, proposals, and correspondence.
  • Facilitate effective communication among project stakeholders, internal teams, and external partners.
  • Track project progress against timelines, identify potential issues, and assist in developing proactive solutions.
  • Manage project files, databases, and ensure information is accurately recorded and easily accessible.
  • Assist with budget tracking, expense reporting, invoice processing, and procurement processes.
  • Support the preparation of project proposals, presentations, and progress updates for internal and external audiences.
  • Undertake research tasks and data collection as required by project needs and objectives.

Required Skills

  • Proven experience (minimum 1 year) in an administrative or project support role.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Strong verbal and written communication abilities in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Ability to work both independently with minimal supervision and collaboratively within a team environment.
  • High level of attention to detail and accuracy in all tasks.
  • Demonstrated problem-solving aptitude and ability to multitask effectively under pressure.
  • Basic understanding of project management principles or methodologies.

Preferred Qualifications

  • Bachelor's degree or Diploma in Business Administration, Project Management, Public Relations, or a related field.
  • Experience with project management software (e.g., Asana, Trello, Monday.com, Jira).
  • Prior experience working within Wajir County or similar regional contexts in Kenya.
  • Fluency in local languages relevant to Wajir County (e.g., Somali, Borana) is a significant advantage.
  • Certification in project management fundamentals (e.g., CAPM, Project Management Ready).
