Career.zycto is seeking an exceptional Project Coordinator to join our vibrant team in Escondido, California. This critical on-site role is the backbone of our project management efforts, ensuring seamless communication, meticulous documentation, and efficient workflow from inception to completion.

In this pivotal position, you will work closely with Project Managers, field superintendents, clients, and vendors to maintain project schedules, budgets, and administrative tasks. Key Responsibilities

  • Manage and maintain comprehensive project documentation, including RFIs, submittals, change orders, contracts, drawings, and specifications.
  • Assist Project Managers with schedule monitoring, budget tracking, and preparation of progress reports.
  • Coordinate and schedule project meetings, prepare agendas, and distribute minutes to all stakeholders.
  • Serve as a central point of contact for internal teams, clients, vendors, and subcontractors regarding project-related inquiries.
  • Process invoices, purchase orders, and expense reports, ensuring accuracy and adherence to company policies.
  • Facilitate timely communication flow between office staff, field teams, and external partners.
  • Support the bid process by assisting with document preparation and distribution to subcontractors.
  • Maintain organized digital and physical filing systems for all project-related materials.
  • Assist in the preparation of project close-out documents and ensure all necessary paperwork is completed.
  • Perform general administrative duties to support the efficient operation of the construction office.

Required Skills

  • Minimum of 3 years of experience in a Project Coordinator or similar administrative role, preferably within the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational skills with a strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong problem-solving abilities and a proactive work ethic.
  • Ability to read and understand basic construction documents and terminology.
