In this pivotal role, you will be instrumental in supporting our Project Management Office (PMO) by ensuring all project-related documentation is meticulously prepared, accurately maintained, and readily accessible. Key Responsibilities

  • Compile, organize, and maintain comprehensive project documentation, including project plans, schedules, meeting minutes, risk logs, and change requests, ensuring accuracy and completeness.
  • Implement and manage document version control processes to track revisions and ensure that all team members are utilizing the latest approved documents.
  • Assist Project Managers in the preparation of reports, presentations, and other communication materials for internal and external stakeholders.
  • Schedule and coordinate project meetings, record detailed meeting minutes, and track action items to ensure timely follow-up and resolution.
  • Facilitate the secure storage and retrieval of project documents using designated document management systems (e.g., SharePoint, Confluence).
  • Ensure all project documentation adheres to company standards, best practices, and regulatory requirements.
  • Support the onboarding of new project team members by providing access to relevant documentation and guidance on documentation procedures.
  • Identify opportunities for process improvements within documentation workflows to enhance efficiency and accessibility.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Demonstrated strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with an emphasis on clarity and accuracy.
  • Meticulous attention to detail and a commitment to producing high-quality work.
  • Ability to work independently and collaboratively in a remote team environment.
  • Familiarity with document management principles and electronic filing systems.
  • Minimum of 3 years of experience in an administrative or documentation support role, preferably within a project-driven environment.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working within the energy, utility, or a similarly regulated industry.
  • Familiarity with project management methodologies (e.g., Waterfall, Agile).
  • Experience with project management software (e.g., Jira, Asana, Microsoft Project).
