Job Description
Aecon Group Inc., a leader in Canadian construction and infrastructure development, is seeking a meticulous and highly organized Project Reporting Coordinator to join our dynamic team in Heart Lake, Brampton. In this crucial full-time role, you will be instrumental in supporting our project management teams by ensuring timely, accurate, and comprehensive reporting across various projects. You will be the go-to person for data consolidation, analysis, and presentation, transforming raw project data into actionable insights that drive informed decision-making.

You will collaborate closely with Project Managers, Project Controls Specialists, and other stakeholders, acting as a central hub for all reporting-related activities. Your work will involve gathering progress updates, financial data, risk assessments, and schedule adherence information, then compiling these into clear, concise, and visually appealing reports and dashboards. This role is more than just data entry; it’s about being the analytical backbone for our project teams. You will be responsible for standardizing reporting procedures, developing and enhancing reporting templates, and ensuring compliance with company and client reporting requirements. A deep understanding of project lifecycle phases and key performance indicators (KPIs) will be essential to accurately interpret data and highlight critical trends or variances. You will also play a key part in identifying areas for process improvement within our reporting framework, actively seeking ways to streamline data collection and enhance report utility. Key Responsibilities
- Collect, consolidate, and analyze project data from various sources including schedules, cost reports, and progress updates.
- Develop and generate accurate, timely, and comprehensive project reports, dashboards, and presentations for various stakeholders.
- Ensure data integrity and consistency across all reporting systems and documents.
- Collaborate with Project Managers, Project Controls, and other team members to gather required information and clarify data discrepancies.
- Maintain and enhance standardized reporting templates and procedures.
- Identify trends, variances, and potential risks, escalating critical issues to relevant project leadership.
- Support the preparation of weekly, monthly, and ad-hoc project reviews and meetings.
- Contribute to continuous improvement initiatives for reporting processes and tools.
- Assist in the development and tracking of key performance indicators (KPIs).
Required Skills
- Proficiency in Microsoft Office Suite, especially Excel (advanced formulas, pivot tables, VLOOKUP) and PowerPoint.
- Demonstrated experience with project management software (e.g., Primavera P6, Microsoft Project, JIRA, SAP).
- Strong analytical and problem-solving skills with an exceptional attention to detail.
- Excellent written and verbal communication skills for clear and concise reporting.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Strong organizational and time management abilities.
- Minimum 3 years of experience in a project coordination, reporting, or project controls role.
Preferred Qualifications
- Post-secondary education in Business Administration, Engineering, Project Management, or a related field.
- Experience in the construction or infrastructure industry.
- Familiarity with data visualization tools (e.g., Tableau, Power BI).
- Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification, or working towards one.
- Knowledge of enterprise resource planning (ERP) systems.
