Job Description
We are seeking a highly organized, detail-oriented, and experienced Project Scheduling Coordinator to join our dynamic project controls team in North York, Toronto. This critical full-time role will be instrumental in the successful planning, execution, and delivery of Aecon’s diverse portfolio of large-scale construction and infrastructure projects. As a Project Scheduling Coordinator, you will be responsible for developing, maintaining, and monitoring comprehensive project schedules, ensuring that all phases from initial planning to final completion are accurately tracked and aligned with project objectives.
Your expertise will be vital in collaborating closely with project managers, engineers, site supervisors, and various stakeholders to gather critical progress updates, identify potential risks, and propose effective mitigation strategies. You will leverage advanced scheduling software, particularly Primavera P6 or Microsoft Project, to create detailed timelines, track actual progress against baselines, and analyze schedule variances. This position requires exceptional analytical skills to interpret complex data, forecast project completion dates, and provide insightful reports that inform key decision-making. Key Responsibilities
- Develop, update, and maintain comprehensive project schedules using industry-standard software (e.g., Primavera P6, Microsoft Project).
- Collaborate with project managers, site teams, and other stakeholders to gather project progress updates and accurately integrate them into the master schedule.
- Monitor project progress against established baselines, identify critical path activities, and analyze schedule variances and their impact.
- Prepare and distribute detailed progress reports, look-ahead schedules, and key performance indicator (KPI) dashboards for various levels of management review.
- Proactively identify potential risks, delays, or conflicts to project timelines and propose effective mitigation and recovery strategies.
- Facilitate scheduling meetings and workshops with project teams to ensure clear communication, alignment, and understanding of project milestones and deadlines.
- Assist in resource loading and leveling activities to optimize resource utilization and prevent potential overloads across multiple projects.
- Support the project controls team in forecasting project completion dates, identifying trends, and assessing financial implications based on schedule performance.
- Ensure all scheduling activities adhere to Aecon's established standards, client requirements, and industry best practices.
- Conduct 'what-if' scenario analyses to evaluate the impact of potential scope changes, disruptions, or alternative execution strategies.
Required Skills
- Minimum of 3 years of hands-on experience in project scheduling or project controls within a construction, engineering, or infrastructure environment.
- Proven proficiency in project scheduling software such as Primavera P6 and/or Microsoft Project.
- Strong understanding of critical path methodology (CPM) and earned value management (EVM) principles.
- Exceptional analytical, organizational, and problem-solving skills with meticulous attention to detail.
- Excellent verbal and written communication abilities, with the capacity to present complex scheduling information clearly and concisely.
- Ability to work effectively both independently and as part of a multi-disciplinary team in a dynamic, fast-paced environment.
- Proficiency in Microsoft Office Suite, particularly advanced Excel skills for data analysis and reporting.
- Bachelor’s degree or college diploma in Engineering, Construction Management, Business Administration, or a closely related field.
Preferred Qualifications
- Experience with large-scale heavy civil, building, or industrial projects.
- Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification, or equivalent.
- Familiarity with various contract types and terms related to scheduling and claims analysis.
- Experience with data visualization tools (e.g., Power BI, Tableau).
